Assessment Task 4: Managing workplace difficulties project

Task summary This roleplay requires you to assume the role of the Office Manager at Accountancy Victoria and conduct a meeting with the Administration Assistant (role-played by your assessor). The purpose of the meeting is to a difficult workplace issue. This assessment is to be completed in the simulated work environment in the RTO.

Assessment criteria:-

For your performance to be deemed satisfactory in this assessment task, you must satisfactorily address all of the assessment criteria. If part of this task is not satisfactorily completed, you will be asked to complete further assessment to demonstrate competence.  

Re-submission opportunities:-

You will be provided with feedback on their performance by the Assessor. The feedback will indicate if you have satisfactorily addressed the requirements of each part of this task. If any parts of the task are not satisfactorily completed, the assessor will explain why, and provide you written feedback along with guidance on what you must undertake to demonstrate satisfactory performance. Re-assessment attempt(s) will be arranged at a later time and date. You have the right to appeal the outcome of assessment decisions if you feel that you have been dealt with unfairly, or have other appropriate grounds for an appeal. You are encouraged to consult with the assessor prior to attempting this task if you do not understand any part of this task or if you have any learning issues or needs that may hinder you when attempting any part of the assessment.  

Assessment 4: Instructions

Carefully read the following:

It is six months later at Accountancy Victoria. The new Administration Assistant, Beth, has been employed and has been in the position for 2 months. Beth is from Somalia, but she has been in the country for 1 year and speaks good English.

The Officer Manager, Sarah, asks to see you to discuss the Administration Assistant’s performance. She mentions that the Beth has not been  ompleting her tasks on time or to the standard she expects. She refers to a few examples, including stationary not been ordered on time, agendas for meetings not sent out in the correct format or to the required timelines and providing clients with incorrect information.

Complete the following activities:

1. Prepare for a meeting to resolve workplace difficulties

Before you commence this assessment, read the following guide about managing underperformance.

You will be assessed on your demonstration of the skill referred to under key points for employers to remember.

A meeting has been arranged next Monday with the new Administration Assistant, Beth.The purpose of the meeting is to identify the difficulties of the workplace and solved them.Preparation of the meeting is going on

2. Send an email to Beth (your assessor).

The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.

It should request Beth to attend a meeting with you to discuss her work.

Include a date and time for the meeting

3. Conduct meeting to resolve workplace difficulties 

Conduct the meeting with Beth (your assessor), explaining to her what the problem is, why it is a problem, how it impacts on the workplace, and why there is a concern.

At the meeting you must:

·         Explain the purpose of the meeting

·         Explain to Beth what the problem is

·         Explain how this behavior impacts the workplace and why it is a concern. Ensure that you focus on the issue, not the person.

·         Demonstrate your interpersonal and communication skills by:

o    Keeping your communication clear and simple

o    Listening to Beth and confirming and clarifying information shared

o    Asking questions to confirm information

o    Emphasizing Beth’s strengths as per the scenario information

·         Discuss and agree on a solution

Purpose: Resolving the workplace difficulties

Problems: The primary factor of the issue is we are not creating items on time. It is past the desires of the workplace director. It diminishes the consumer loyalty. Conduct is vital to enhance the work environment. In the event that the conduct of the association is cordial, the representatives can speak with the seniors easily. They can share their thoughts which can be awesome for the association.

 Decision: We have completed our meeting and discussed so many solutions. And now we know how to solve it. This will be very much beneficial for the company.

At the meeting you must:

·  Purpose: The main purpose of this meeting is to solve the company’s problems as quickly as possible.

·      Problem: Lack of refreshment opportunities for the employees.

·   Explain how this behaviour impacts the workplace and why it is a concern. Ensure that you focus on the issue, not the person: The work of the employees will make them monotonous. This should not be the environment for any worker to work in. by providing the employees refreshment they will be more productive than any other time.

·    Demonstrate your interpersonal and communication skills by:

o   Refreshment is important for the employees.

o   Provide sufficient information to Beth for understanding the problem.

o   Conduct a face to face conversation with both Beth and the employees on the problems.

o   Provide benefits of solving the problems.

·    Discuss and agree on a solution: From the meeting with both employees and Beth, we have come a solution that there should be proper arrangement for the employee’s refreshment process such as providing healthy environment, sufficient time to think, refreshment area etc.
